ABOUT THIS POSITION

The Public Works Department strives to improve the quality of life in Phoenix through the efficient delivery of outstanding solid waste, fleet, facilities, and energy management services.

The Public Works Department is in search of an Administrative Aide who can provide advanced administrative support. This position will directly support the Fleet Control Manager by making independent decisions and having a thorough understanding of the terminology, procedures, and practices within a defined activity area.

Some positions may require issuing instructions on behalf of a supervisor or exercising direct supervision over a small number of lower-level clerical personnel.

Responsibilities include:

Reviewing documents for completeness and accuracy. Verify goods receipts and vehicle invoices. Using SRM/SAP to create vehicle orders, order supplies, and other materials needed by staff. Preparing reports or other documents. Providing customer service and responding to issues or complaints. Providing general administrative support such as typing, phones, and filing, and using a variety of office software such as Word, Excel, and Outlook. IDEAL CANDIDATE

Interpretation and decision-making skills. Strong verbal and written communication skills and attention to detail. Understanding of budget and procurement rules. Able to:

Sit for long periods of time. Work in a fast-paced environment independently and meet tight deadlines. Work in a cubicle environment with noise and frequent interruptions. Work effectively in a team environment. Demonstrate good judgement and responsible behavior.

SALARY

Pay Range: $20.51 to $35.08 per hour.

Hiring Range: $20.51 to $30.31 per hour.

Please understand that this is pay grade 343. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

Promotions occur when the last two digits of the pay grade increase. Demotions occur when the last two digits of the pay grade decrease. Lateral transfers occur when there is no change to the last two digits of the pay grade. When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit. MINIMUM QUALIFICATIONS

Four years of experience performing clerical duties. OR Bachelor's degree in public or business administration or a related field. Other combinations of experience and education that meet the minimum requirements may be substituted. The minimum qualifications listed above, plus:

Proficiency with Microsoft Office, including Word, Outlook, and Excel.

Experience with:

Providing administrative support to multiple levels of staff, including middle management and above. Coordinating and scheduling meetings, including agenda and minute/notes preparation. Composing and responding to a variety of correspondence. Entering, structuring, and organizing data in a variety of formats to pull comprehensive reports. Accounting software such as SAP, SRM, and/or MS Access. Analyzing data and making informed decisions and/or recommendations. Monitoring and compiling data to determine compliance with standard operating procedures. Providing strong customer service in potentially difficult circumstances.
