Overview:
A highly regarded law firm is seeking an experienced
Legal Secretary
to support attorneys in its Seattle office. This full-time, onsite role is ideal for candidates with strong organizational skills, attention to detail, and a deep understanding of legal administrative processes. Legal Secretaries work in a collaborative and team-oriented environment to ensure attorneys receive reliable, high-quality support.
Key Responsibilities:
Prepare, edit, and proofread legal documents including contracts, complaints, motions, subpoenas, and correspondence.
Coordinate daily workflow for assigned attorneys and collaborate with the in-office Attorney Resource Center (ARC).
Assist with client billing processes including editing prebills and coordinating with the billing department.
Open new client matters and handle document requests from the firm's Information Governance Department.
Schedule meetings and appointments; reserve conference rooms, order meals, arrange A/V support, and send calendar invitations.
Handle travel arrangements using the firm's travel provider.
Manage time entry for attorneys using the firm's systems.
Support document organization, filing (physical and electronic), scanning, and photocopying.
Maintain accurate filing systems; ensure documents are stored under the correct client matter number.
Provide notary public support, if certified.
Process expenses and vendor invoices through the firm's accounts payable system.
Convert documents between formats (e.g., PDF to Word), and create/edit PowerPoint decks and Excel spreadsheets.
Answer phones professionally, take messages, and support client communications. Qualifications:
Minimum 10 years of legal secretarial experience in a law firm.
High school diploma required; associate or bachelor's degree preferred.
Typing speed of 60+ words per minute.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and firm-specific tools such as iManage, Emburse, and DTE Time Entry.
Familiarity with legal terminology and electronic court filing systems.
Excellent communication, organizational, and multitasking skills.
Ability to prioritize work effectively, maintain confidentiality, and respond to fast-paced demands.
Reliable, professional, and committed to exceptional client service.
Flexibility to work overtime as needed. Compensation & Work Environment:
Salary:
$70,000 - $96,000 base (dependent on experience and qualifications)
Status:
Nonexempt (eligible for overtime)
