Office Specialist II

The Utah Division of Water Rights is seeking a detail-oriented and motivated Office Specialist to join our Applications and Records section. In this critical role, you will act as the primary contact for the Division of Water Rights, greeting customers by phone and in person. You will also provide file room assistance, scanning support, processing of address changes, monitor the Division's general email and other Public Inquiry Section functions such as backup support for the other office specialists in the Section. Finally, you will supply clerical support on a division-wide basis as needed. The ideal candidates will bring a proactive attitude, be well-organized and able to meet stringent deadlines. In this critical role, you will be at the heart of the water rights process, helping to ensure its smooth operation across the entire state. Responsibilities

Provide information and assistance to the public. Process incoming and outgoing mail. Process filing fees. Coordinate and provide clerical support for the water right application program. Accurate review of applications; while not responsible for content, the incumbent must be able to recognize obvious errors Provide division-wide general clerical support to staff including Dam Safety, Stream Alteration, Distribution, Adjudication, Well Drilling, etc. Provide file room assistance. Maintain and/or create files or record keeping systems. Sort, label, file, and retrieve documents or other materials. Provide scanning support. Process address changes and other Public Inquiry Section functions. Qualifications

Preferred skills and qualifications for this position: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and Google Workspace (Docs, Sheets, Gmail, Calendar, etc.). Candidates should have strong verbal and written communication skills and be able to interact professionally with colleagues, stakeholders, and the public. Excellent listening and reading comprehension are essential to understand instructions, ideas, and complex information. Have excellent customer service skills and possess strong attention to detail. Strong organizational skills are important, along with the ability to prioritize tasks, manage time effectively, and meet deadlines.
