Position Overview: The Administrative Assistant II will be trained on higher-level administrative and support tasks, with a focus on performing essential office functions and ensuring smooth day-to-day operations. This role requires an individual who is adaptable, capable of handling complex clerical, secretarial, and data entry tasks, and is eager to contribute to a team that is committed to excellence.

Key Responsibilities

General Administrative Support:

  • Perform difficult, repetitive clerical, secretarial, or data entry tasks, including typing, filing, taking dictation, and preparing various forms and reports.
  • Verify the quality of work and make routine calculations as necessary.
  • Assist with visitors and handle miscellaneous office tasks as required.

Office Equipment & Software Use:

  • Operate various office equipment and utilize personal computers to enter and retrieve information for reports/orders.
  • Proficiently use Microsoft Office programs (Word, Excel, PowerPoint) to assist in developing presentations and reports.
  • Experience with Visio and OneNote is preferred.

Scheduling & Coordination:

  • Provide travel scheduling and coordination support.
  • Maintain and coordinate office space.
  • Manage complex calendar priorities, ensuring smooth scheduling for multiple attendees and conflicting appointments.

Reporting & Inventory Management:

  • Track, maintain, and report on various inventories.
  • Assist in generating daily production reports and compiling routine reports/orders.

Communication & Interpersonal Skills:

  • Develop and maintain clear communication with internal teams and external visitors.
  • Demonstrate excellent verbal and written communication skills.
  • Exhibit strong interpersonal, analytical, and organizational abilities.

Key Qualifications

Experience:

  • 2+ years’ experience as an Administrative Assistant.
  • 2+ years’ experience in a specialized/functional area or discipline.
  • Experience using electronic calendaring systems to schedule meetings for multiple attendees.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Visio and OneNote is a plus.

Education:

  • Associate’s degree or equivalent experience is preferred.
