Job Title

To serve as a civilian employee of the Indiana State Police whose primary responsibility is to provide secretarial and administrative support to the Commercial Vehicle Enforcement Division Command staff. Job Duties

Receive visitors and schedule appointments for Division Command staff. Answer telephones, take messages and/or direct questions to appropriate personnel. Compose and prepare memorandums, letters, reports and correspondence as requested by Division Command staff. Develop and maintain filing systems. Distribute incoming inter-department and US mail. Prepare outgoing inter-department and US mail Type correspondence, agendas, meeting minutes and required reports. Create any necessary forms. Prepare and distribute various forms, reports and documents. Establish and maintain varied computer files. Perform routine maintenance of office equipment. Compile, record, tabulate and file monthly reports as required. Receive and disseminate information to the general public and news media as directed. Properly handle confidential information, correspondence and other documentation. Make any necessary travel and/or lodging arrangements for Command staff as directed. Perform other duties as required. Job Qualifications

Must be a high school graduate or equivalent G.E.D. Ability to acquire knowledge of Department functions and procedures. Ability to deal with and solve problems. Ability to calculate and accurately compile data. Ability to work with computerized word processing, spreadsheets, databases and software. Ability to operate and maintain office equipment to include copy machine, calculator, computers and transcribers. Ability to maintain confidentiality. Ability to work under pressure and successfully function in a stressful environment. Must be able to access, input and retrieve information using a calculator and computer. Ability to communicate effectively, both verbally and in writing. Must be able to organize, file and retrieve information. Must be able to proofread documents with accuracy. Must be able to work with minimal supervision, prioritize work and meet deadlines. Must be able to successfully pass a background investigation.

Employees receive 12 work days annual vacation leave with pay.

Additional days are granted after 5, 10, and 20 years of service to a maximum of 25 days annually.
