Job Description
We are looking for an experienced Administrative Assistant. This is a long-term contract position based in Memphis, Tennessee. The ideal candidate will bring strong organizational skills and a proactive approach to administrative tasks, helping ensure the smooth operation of the department.
Responsibilities:
• Manage and process departmental materials such as correspondence, scholarly articles, surveys, student petitions, and class-related documents, ensuring accuracy in spelling, punctuation, and grammar.
• Serve as the primary receptionist for the department, greeting visitors, answering inquiries, distributing mail, and handling incoming and outgoing communications.
• Coordinate schedules by arranging appointments, meetings, and travel plans for department members, seminar speakers, and job applicants, while also managing reimbursements.
• Maintain and update the department’s website using current software tools, ensuring accuracy and alignment with university communication standards.
• Develop and oversee filing systems and record-keeping for the department, while monitoring and replenishing office supplies as needed.
• Assist with the creation, editing, and publication of content on the department’s Canvas page.
• Operate and maintain office equipment, including computers, printers, copiers, and scanners, utilizing various software tools such as word processing, spreadsheets, databases, and web page editors
• Proven experience in administrative assistance, preferably within an academic setting.
• Strong organizational and multitasking skills to manage various responsibilities effectively.
• Proficiency in handling communications, including inbound calls and electronic correspondence.
• Familiarity with data entry and record-keeping systems.
• Receptionist experience, including visitor interaction and mail distribution.
• Ability to use office equipment and software tools such as word processors, spreadsheets, and website editors.
• Attention to detail and proficiency in proofreading and editing written materials
