Responsibilities Manage executive calendars, scheduling appointments and meetings while ensuring optimal time management. Coordinate and plan events, including logistics, catering, and venue arrangements. Provide executive administrative support by preparing reports, presentations, and correspondence. Maintain organized filing systems for documents and records, both physical and digital. Assist with bookkeeping tasks using QuickBooks, ensuring accurate financial records. Handle data entry tasks with precision and attention to detail. Conduct proofreading and transcription of documents to ensure clarity and professionalism. Manage phone etiquette by answering calls on multi-line phone systems and directing inquiries appropriately. Utilize Microsoft Office Suite and Google Workspace for various administrative tasks. Support project coordination efforts by tracking progress and deadlines. Provide excellent customer service to clients and stakeholders through effective communication. Skills Proven experience as a Personal Assistant or in an administrative role. Strong organizational skills with the ability to prioritize tasks effectively. Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with QuickBooks for bookkeeping purposes is a plus. Excellent typing skills with attention to detail for data entry tasks. Experience in event planning and project coordination is highly desirable. Strong clerical experience including filing, data management, and front desk operations. Ability to maintain confidentiality while handling sensitive information. Effective communication skills with a professional demeanor in all interactions. Knowledge of Microsoft Outlook Calendar for scheduling purposes. Experience with DocuSign for document management is advantageous.
