Job Summary

We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and ensure the smooth operation of our office. This role requires a blend of administrative expertise, office management skills, and the ability to coordinate various projects and events. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a strong background in office administration. Responsibilities Provide comprehensive executive administrative support to senior management, including calendar management and scheduling appointments. Coordinate and plan company events, meetings, and conferences to ensure successful execution. Manage office operations, including overseeing supplies inventory, maintaining equipment, and ensuring a professional work environment. Handle bookkeeping tasks using QuickBooks, including invoicing and expense tracking. Facilitate project coordination by tracking progress, deadlines, and deliverables across various initiatives. Perform data entry and maintain accurate filing systems for easy retrieval of documents. Assist with customer service inquiries and provide front desk support as needed. Proofread documents for accuracy and clarity before distribution. Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for various administrative tasks. Manage multi-line phone systems with professionalism and excellent phone etiquette. Skills Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools. Experience with QuickBooks for bookkeeping purposes is preferred. Excellent typing skills with attention to detail in data entry tasks. Proven experience in project coordination and event planning. Familiarity with DocuSign for document management is a plus. Strong clerical experience with an emphasis on filing systems and record keeping. Exceptional communication skills for effective interaction with clients and team members. Ability to manage multiple calendars using Microsoft Outlook Calendar efficiently.
