Overview
The Legal Secretary - Litigation provides high-level administrative and secretarial support to attorneys, ensuring the efficient management of litigation matters from case inception through resolution. This position involves drafting and finalizing complex legal documents, executing e-filings in state and federal courts, managing case calendars, and organizing materials for hearings, trials, arbitrations, and mediations. The role requires exceptional attention to detail, advanced organizational skills, and the ability to manage multiple cases in a fast-paced environment. The ideal candidate will bring a strong understanding of litigation procedures, court rules, e-filing processes, and legal terminology, paired with professionalism, discretion, and the ability to anticipate attorney and client needs.
Responsibilities
Prepare, revise, and format legal documents, correspondence, memoranda, and email communications.
Manage e-filings across state, federal, and administrative courts and agencies.
Compile and prepare documents, exhibits, and supporting materials for hearings, trials, arbitrations, mediations, and depositions.
Proofread all documents for accuracy, grammar, and compliance with firm formatting standards.
Create and maintain Tables of Contents (TOC) and Tables of Authorities (TOA).
Schedule and coordinate attorney meetings, appointments, and case deadlines.
Maintain and track litigation calendars, ensuring all critical deadlines are met.
Assist with new client and matter intake according to firm procedures.
Use legal software and document management systems to manage case files and documents.
Coordinate attorney travel, including flights, hotels, and ground transportation.
Process, sort, and distribute incoming mail, email, and other communications.
Assist with marketing support such as assembling pitch folders, attorney biographies, and presentations.
Provide overflow and backup support to other attorneys and staff as needed.
Safeguard the confidentiality of firm, client, and personnel information.
Perform additional duties as assigned. Requirements
High school diploma or equivalent required; additional education preferred.
Minimum of 5 years of litigation secretary experience.
Strong writing, editing, and proofreading skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with iManage or similar document management systems preferred.
Excellent organizational skills with the ability to balance multiple attorney workloads.
Professional verbal, written, and telephone communication skills.
Ability to operate office equipment such as transcription devices, fax machines, and multifunction copiers.
Consistent reliability and punctuality. Physical Requirements
Extended periods of sitting with frequent standing and walking.
Regular use of computers for document preparation and communication.
Clear verbal communication both in-person and over the phone.
Occasional bending, kneeling, and climbing.
Fine motor skills for typing and office equipment operation.
Ability to lift up to 10 pounds.
Flexibility to work beyond 40 hours per week as needed.
