Description: Provide ongoing, direct support to the Executive Director of Personnel Services in coordinating all Personnel Services functions related to guest teachers and third-party contractors. This role serves as the primary liaison for these groups, ensuring efficient hiring, onboarding, compliance, and recognition processes in alignment with Board of Education policies and the Illinois School Code.

ESSENTIAL FUNCTIONS

Administrative Functions Perform routine office functions, including filing, copying, and mail routing. Maintain accurate personnel files in a secure system: guest teachers and third-party contractors. Gather and organize data using Google Drive folders for guest teachers and contractors. Manage ordering of supplies and materials. Provide support to the Executive Director of Personnel Services as needed. Communicate updates for the Personnel Services webpage to the Director of Communications. Provide Spanish translation as needed (preferred). Serve as a backup to other Personnel Services HR Specialists in their absence. Databases & Compliance

Enter and update new employee information and contact details in Skyward for guest teachers. Monitor guest teacher substitute needs and alert the Executive Director of potential shortages. Maintain working knowledge of the Educator Licensure Information System (ELIS). Conduct annual reviews of guest teacher licensure and communicate renewal requirements. Process compliance data for guest teachers and contractors through the Illinois Sex Offender and Violent Offender Registries. Recruitment & Selection

Coordinate the recruitment and interview process for guest teachers to maintain an adequate supply of substitutes. Process job posting requisitions and post positions on Frontline Recruiting & Hiring (long-term guest teachers). Schedule interviews for posted vacancies using district hiring software. Administer pre-hiring compliance (e.g., reference checks, licensure verification, background checks, Faith's Law compliance when applicable).

Onboarding & Offboarding

Provide and verify completion of all new hire paperwork for guest teachers and contractors. Direct fingerprinting and background checks for guest teachers and contractors. Prepare compensation and employment communication for guest teachers at the direction of the Executive Director. Ensure annual Letters of Assurance are sent to guest teachers. Process separations (termination, retirement, resignation) for guest teachers and contractors, including system updates and exit procedures. Recognition & Events

Coordinate annual staff recognition activities, including the Board of Education retirement celebration, in collaboration with Communications, Superintendent's Office, and Personnel Services. Order service awards and coordinate recognition gifts for staff milestones (e.g., marriage, birth). Qualifications:

Strong knowledge of HR processes and compliance related to education personnel. Experience preferred with HRIS platforms (e.g., Skyward, Frontline/AESOP, Verifent, Foley, Google Workspace). Ability to read, comprehend, and apply job-related written material and make sound decisions in accordance with school policies and procedures. Strong organizational skills with attention to detail and accuracy. Ability to handle confidential information with discretion and professionalism. Effective interpersonal skills and ability to establish positive working relationships with diverse groups (staff, contractors, administrators). Ability to communicate clearly in both oral and written form; Spanish proficiency preferred. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Physical Demands & Work Environment

Regularly required to sit, stand, talk, and hear. Frequent use of computer equipment; must withstand extended monitor use. May occasionally lift up to 30 pounds. Position requires meeting firm deadlines, interacting with the public and staff, and occasional extended hours. Work is primarily indoors at the District Office or school sites, with moderate to occasionally high noise levels.

Salary: $60,000.00 per year plus excellent benefits including IMRF Retirement Pension Service Credit, paid sick, personal, bereavement leave, and other benefits in a 8 hour paid work day.
