Job Description

The Iowa Department of Health & Human Services (HHS), Community Access and Eligibility Division, is seeking anAdministrative Support Assistant 3to perform clerical support duties in the Lucas Building office. This position provides administrative assistance and confidential secretarial duties to the Field Eligibility Determinations Director and Leadership Team. This is a full-time opportunity, Monday - Friday with work hours being from 8:00 AM - 4:30 PM.

New hires will start at the base salary of $19.76 hourly, $1,580.80 biweekly, $41,100.80 annually.

Core Essential Functions

Provide administrative assistance including composing letters and minutes; maintaining appointment schedules; making travel arrangements; reading, sorting and distributing mail; arranging and setting up meetings; greeting and screening visitors and callers; tracking and entering data into databases; coordinating responses to Requests for Information (RFI); maintaining up-to-date telephone, mail and email contacts; making referrals to appropriate staff or personally resolving issues; and copying and filing as needed.

Serve as a liaison with the Community Access, Economic Assistance, in responding to and investigating client complaints.

Communicate effectively verbally and in writing; display active listening skills.

Deal calmly and effectively with high stress situations

Attend staff meetings and training sessions.

Perform back-up responsibilities for all clerical staff or as assigned.

This position requires a high level of initiative, effort, and commitment toward completing assignments efficiently with the ability to:

Interact with employees and customers in a manner that is consistent with quality customer service delivery.

Comprehend and adhere to confidentiality and security provisions.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

Two years of full-time work experience in general office, clerical, data entry/processing, or related work.

A total of two years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.

Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 2 or eighteen months of full-time work as an Administrative Support Assistant 1.
