American Cruise Lines is seeking an organized and proactive Marine Training & Development Administrative Assistant to support the Marine Operations Training Department. This role is responsible for managing daily training logistics, coordinating with various departments, and ensuring seamless onboarding and training experiences for crew members. Strong communication, attention to detail, and a service-oriented mindset are essential. Responsibilities

Provide administrative and logistical support to Marine Operations Training staff, including document preparation, data entry, and internal communication. Coordinate classroom logistics such as room setup/breakdown, training material preparation, daily schedule management, and simulator scheduling. Welcome and assist trainees, interviewees, and visitors at the reception area; support onboarding tasks including I-9 processing, uniform sizing, and hotel inspections. Audit scheduled training dates for Marine Operations personnel, ensuring appropriate travel arrangements have been confirmed and training goals for the fleet are met. Maintain and update learning management systems (LMS), manual filing systems, contact lists, training rosters, and departmental email correspondence. Track training data including retention rates, performance awards, crew evaluations, survey responses, and disciplinary records to identify trends and improvement areas. Ensure equipment is maintained and inventoried; place supply orders, verify deliveries, and troubleshoot issues as needed. Monitor and analyze feedback from training surveys, guest comments, and social media to improve training quality and trainee experience. Act as a liaison between training, onboarding, crew travel, talent acquisition, and uniform warehouse teams to streamline communication and scheduling. Support mail distribution, package handling, and delivery logging for the department. Develop, implement, and maintain administrative procedures to improve operational efficiency and resolve issues as they arise. Represent the department with a positive, professional attitude while supporting a collaborative team environment. Qualifications

Demonstrated administrative or assistant experience with strong organizational and planning skills. Proficient in Microsoft Office and capable of using data processing equipment effectively. Excellent written and verbal communication skills, attention to detail, and ability to manage multiple tasks and priorities. Able to follow complex verbal and written instructions precisely and solve problems independently or as part of a team. High school diploma required; college degree preferred. Flexible availability, including evenings, weekends, holidays, and rotating shifts. Professional appearance and demeanor, with a self-motivated, positive attitude and adaptability to a dynamic work environment. Work Environment

Daily in-person position at our Training Center in Salt Lake City, UT. Physical ability to lift to 40 pounds, walk, stoop, bend, reach, and the ability to stand for elongated periods of time. Work Schedule
