Job Description Administrative Legal Secretary - Litigation The Litigation Division of the Office of the Utah Attorney General has an immediate opening for an administrative legal secretary. Incumbents in this job typically serve as lead to legal secretary trainees, legal secretaries, and other support staff in the Litigation Division. Incumbents provide more complex legal secretary services and manage the administrative tasks for the division.
Preference may be given to a current Attorney General employee, proficiency in the Legal Files case management platform, proficiency in the SAP Concur expense and travel management platform, advanced Microsoft Office skills, advanced Adobe Acrobat skills, and/or demonstrated leadership or training experience.
Responsibilities
Assist in planning and coordinating overall workplace functions, procedures, meetings, special events and/or special projects. Participate in regularly scheduled Division leadership team meetings; take and circulate the minutes. Plan and lead secretarial meetings. Coordinate secretarial schedules and coverage. Arrange for equipment maintenance; purchase and stock supplies for the Division. Assist with travel booking and expense reporting. Process CLE, professional association membership dues, and other types of expense reimbursements. Maintain Division calendar; schedule Division meetings, trainings, and special events. Maintain Division administrative files. Assist with new employee onboarding; serve as lead trainer for new Division secretaries Communicate effectively and professionally with co-workers and administrators to process requests, resolve questions or concerns, and provide assistance. Perform all secretarial tasks for assigned attorneys and paralegals. Correspond timely and professionally with court clerks, counsel, clients, and others to provide information, resolve questions or concerns, and provide assistance. Draft, prepare, and/or process documents as directed. Manage case files and records in the Office case management system, including pleadings, correspondence, billing entries, deadlines, etc. Receive calls and/or greet visitors. Maintain case calendars. Qualifications
(includes knowledge, skills, and abilities required upon entry into the position and trainable after entry into position)
Prepare, format, and proofread legal pleadings, notices, motions, briefs, and other legal documents for filing with state and federal courts and administrative bodies. Knowledge of applicable laws, regulations, and procedures. Ability to adapt to new software programs, packages, and protocols. Proficiency in Microsoft Office Suite, Adobe Acrobat Pro, SAP Concur, and Legal Files or other case management systems. Proficiency organizing and maintaining electronic and hard copy documents and files. Organize information or data in a clear and concise manner. Work efficiently and competently under deadlines. Manage one's own time and the time of others Occasionally work past standard business hours. Prioritize tasks and balance workload. Effectively communicate information and ideas. Proficiency in written communications. Ability to interact with others professionally and tactfully. Ability to work both independently and as part of a team. Identify creative solutions to problems.
