We’re looking for an Administrative Assistant, someone who’s ready to grow with our company. In this position, you will provide direct administrative support for multiple leaders, including primary support to a Director or a Physician at a Leadership level as approved by the Physician Compensation Executive Committee (PCEG).

Job Duties & Responsibilities:

  • Conduct yourself in a professional, courteous manner daily.
  • Schedule and maintain calendars, ensuring they are current and accurate as directed by the supervisor.
  • Coordinate and schedule surgeries as needed.
  • Coordinate events and conferences, including preparation of itineraries and travel accommodations as directed by the supervisor.
  • Format all correspondence in accordance with current graphics standards set by the Hospital and current grammar and secretarial practices.
  • Type and proofread letters, memos, reports, meeting notices, meeting agendas, and meeting minutes for review by the Director and Managers, ensuring accuracy and completeness, then finalize documents for copying, distribution, and filing.
  • Ensure inventories of major supplies are never depleted in the area.
  • Prepare and submit vendor contract renewals or new contract initiations for the department.
  • Open and review leader's incoming mail daily.
  • Create and maintain department organizational charts.
  • Maintain and edit Managers and Assistant Director timekeeping in the timekeeping system for Director approval.
  • Maintain in-depth knowledge of office techniques, principles and applications and assist others with procedural and application questions.
  • Maintain in-depth knowledge of computer applications and detailed databases and the ability to produce presentations, brochures, reports, etc., using Word, Excel, PowerPoint, Access, Publisher, etc.

Skills & Requirements

  • Required H.S. diploma or equivalent; bachelor’s degree preferred
  • Required at least 3 years of administrative support experience
    • Managing travel
    • Managing expenses
    • Managing complex calendars
  • Knowledge of general administrative functions and department operations
  • Knowledge of utilizing a personal computer using word processing and spreadsheet applications
  • Ability to coordinate multiple projects simultaneously, communicate effectively both in writing and verbally, work independently, adapt to changing situations, and maintain close attention to detail
  • Experience managing visas (International Surgeons) preferred
