(Chicago/Hybrid) The position of Office Coordinator will work closely with Fellowship staff, senior leadership and the building staff to ensure the office is maintained and remains in exceptional condition. With an eye on safety, cleanliness, and efficiency, the office coordinator will be responsible for working with external vendor partners to negotiate best rates for office products and services. The Office Coordinator also provides administrative assistance to the Manager of the Office of the President and coordinates with Human Resources representatives on employee engagement activities. This position reports directly to the Manager of the Office of the President and is based at our headquarters located in downtown Chicago. We are seeking an individual with experience in related discipline or equivalent experience. Individuals with a college degree preferred. A Minimum of 1-year customer service, office related, or administrative experience is required. Individuals with experience in vendor negotiations, meeting and event planning and internet research preferred. Essential Job Responsibilities Include: Office Operations: Maintain a safe office environment by managing multiple aspects of the office. Maintain office guest and service requests. Review monthly building invoices and work order charges, present to Manager OOP for approval. Serve as the liaison with external vendors, building management, staff, and engineers. Order and maintain office and kitchen supplies, manage inventory while adhering to the approved budget. Researches and negotiates best pricing on of items or services. Ensure delivery of excellent internal and external customer service. Administrative: Ensure and maintain compliance with Certificates of Insurance for all Fellowship vendors and procures new ones as needed Conducts new hire orientation on office procedures, supply closet, kitchen cleaning rotation, and related topics. Support department leadership in administrative work, including upkeep of departmental intranet site, travel arrangements, vendor management and other items as identified. Assist in logistics, set-up, and coordination for US Board Meetings, C-Suite meetings, and other events as assigned. Collaborates with HR for staff engagement activities. Support special projects for executive office and operations teams as assigned. Technical Skills & Abilities Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook and Teams). Critical thinking and problem solving Excellent oral and written communication skills Strong organizational skills and the ability to manage and prioritize multiple tasks efficiently. Adaptable to a dynamic environment with strong interpersonal skills Excellent customer service skills necessary to effectively interact with staff, leadership, and vendors Maintains confidentiality while handling highly sensitive materials Professional demeanor with a willingness to take ownership and responsibility Ability to build relationships and work with a wide variety of people and personalities at all levels. including senior and executive management Quick learner with the ability to acquire new skills rapidly Team-oriented, balanced by the ability to work independently. Basic knowledge of Christian and Jewish faiths
