Job Description

Responsibilities

  • Provide full-time support to the Product Manager and a team of five. Manage the Product Manager’s calendar—creating, canceling, accepting, and declining meetings.
  • Coordinate meeting logistics and resolve scheduling conflicts.
  • Order office supplies and manage arrangements for personnel entering/exiting the product group, including seating, equipment, supplies, and badge access.
  • Manage lease car reservations and related services for Peoria cars.
  • Book domestic and international travel, including visas, passports, rental cars, and hotels.
  • Manage conference room bookings.
  • Serve as the primary communicator for the LTTT product group.
  • Send mass department emails as needed.
  • Coordinate monthly Large Tractor Update meetings, including arranging guest speakers for approximately 200 attendees.
  • Order catering for meetings and customer visits upon request.
  • Organize service pin celebrations, including calendar invites, speakers, and refreshments.
  • Address day-to-day requests from the team.

Typical Day

  • Support the Product Manager and team of five.
  • Order office supplies and manage mail twice a week.
  • Book travel arrangements, including visas, passports, rental cars, and hotels.
  • Manage two Lotus Notes calendars, handling meeting scheduling.
  • Manage the CV Room F102 and the LTTT conference room.
  • Send mass emails as needed.
  • Oversee onboarding and offboarding processes to ensure smooth transitions.
  • Create monthly LTTT team meeting presentations and coordinate guest speakers.
  • Manage tours visiting SS.
  • Arrange catering for meetings and visits.
  • Organize service pin celebrations.
  • Calculate and submit monthly safety metrics for LTTT.

Qualifications

Technical Skills

  • Bachelor’s Degree in Communication or a related field, or equivalent experience.
  • Experience with PowerPoint, Excel, and Word—required.
  • Experience with Lotus Notes, Concur, and My Supply Cabinet—preferred.

Soft Skills

  • Excellent written and oral communication skills.
  • Ability to interact effectively with colleagues at all levels.
  • Strong time management and organizational skills.
  • Quick learner.
