Our client is seeking a skilled
Office & Executive Support Manager
to support our client 's continued growth and success. This individual will assume several responsibilities , including administrative support, office management, human resources, communications, and marketing .
The ideal candidate for this position will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple tasks in a fast-paced, ever-changing environment. This role is essential for optimizing executive support and enhancing organizational efficiency . This is a direct-hire opportunity working on site in Morrisville with benefits. The starting salary range is $ 50,000, but has flexibility depending on experience and fit . No visa sponsorship, relocation assistance, or subcontracting arrangements are available.
Key Responsibilities:
Administrative Support (30%): Organize and prepare for meetings, including setting up conference calls, preparing agendas, and following up on action items. Plan and arrange company events Develop travel itineraries for conferences, workshops, and customer visits, handling last-minute changes as necessary. Assist with designing and sourcing branded material for clients, employees, and events. Assist in personalized communications to past and current customers. Assist the business development team with proposals for government opportunities. Maintain filings on patents and trademarks. Office Management (30%):
Monitor, order, and maintain groceries and office supplies for the company. Perform shipping, receiving, and component ordering. Lead quoting, scheduling, and inspection of office services such as cleaning, electrical, HVAC, plumbing, and fire inspections. Complete compliance forms, insurance applications, and similar filings. Assist with budgeting and expense tracking, preparing expense reports, and other financial documents as needed. Support all administrative duties in the office to ensure the smooth operations , including but not limited to answering phones, opening doors, and assisting with mailings. Human Resources (10%):
Manage the recruitment processes including job posting, candidate screening, interviewing, and onboarding. Administer employee benefits programs including compliance with federal and state employment regulations. Develop and implement HR policies, procedures, and employee handbook updates to align with current labor laws and organizational goals. Conduct employee relations activities including performance management, disciplinary actions, conflict resolution, and exit interviews. Partner with leadership on strategic workforce planning, compensation analysis, training program development, and organizational development initiatives. Communications and Marketing (30%):
Prepare, edit, and format reports, presentations, proposals, and other documents, gathering and analyzing information from engineers and project managers to provide clear, accurate information to current and potential customers. Generate, edit, and manage content for the Device Solutions website, including all required updates, maintenance, and changes. Analyze and report on website metrics and industry trends, using data gathered to drive continuous improvements to our website and increase the number of leads it generates. Refine and templatize reports / processes to streamline projects. Maintain the company's online image, writing, reposting, and responding to relevant content for all social media platforms. Assist the business development team in creating case studies and other marketing materials. Assist the business development team using available tools (HubSpot, LinkedIn, etc.) to plan meetings with past, current, and future customers, as well as data entry and maintenance Skills and Attributes:
Exceptional organizational and time management skills. Excellent written and verbal communication skills. Resourceful and reliable. High level of discretion with the ability to handle sensitive employee and customer information with care. Strong, proactive problem-solving skills and the ability to anticipate and address the team's needs without disrupting daily workflows. Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. Qualifications:
Bachelor's degree or equivalent experience. 4 + years of administrative support experience and experience with HR duties. Exceptional software skills with MS Office, Google Workspace, HubSpot, etc. Proven ability to work independently and as part of a team. Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
