Role Summary The Warehouse Receiving & Distribution Coordinator ensures all inbound vendor deliveries are received into the system using BRData DSD and properly staged for distribution to individual stores. This role controls the dock, verifies product quality, processes invoices and credits, and prepares outbound transfers, ensuring stores get the right product, at the right time, with the right paperwork.
Key Responsibilities A. Receiving & Vendor Control Receive inbound vendor deliveries to the warehouse dock. Verify BOL/invoice, quantities, catch-weights, code dates, and temperatures for all loads. Reject or document damaged, short, or incorrect shipments. Post receipts into BRData DSD, including vendor invoice data, allowances, and credits. Scan and attach all supporting documents into cloud for audit compliance. B. Warehouse Processing Break down vendor pallets and re-stage items into store-specific allocations. Label and route product by store, department, and temperature zone. Verify weights and quantities for random-weight and scale items before staging. C. Store Distribution Prep
Stage outbound loads by delivery sequence to minimize driver dock time. Communicate shortages, substitutions, or delays to store managers and buyers. Ensure FIFO rotation and keep perishable product in proper temp zones until dispatch. D. Documentation & Audit Trail
Complete dock receiving log and temperature checks for all inbound/outbound loads. File invoices, credits, and transfer paperwork in the cloud the same day. Maintain clean audit trail for compliance, vendor disputes, and shrink control. E. System & Equipment Use
Operate BRData DSD Receiving. Use Zebra handhelds for scanning, verification, and label generation. Maintain dock equipment (pallet jacks, thermometers, scanners, printers). Daily Standard Work Open dock and prep BRData receiving batches. Receive vendor deliveries (inspect, temp check, count, code-date check). Break down loads and allocate product by store. Stage outbound product by store/delivery route. Complete dock logs, temperature logs, and EOD variance reports. Secure dock and documents at day’s end. Qualifications 1–2 years in warehouse, grocery, or receiving roles. Familiarity with BRData preferred. Strong attention to detail with invoices, weights, and code dates. Ability to lift up to 50 lbs and work in cooler/freezer environments. Basic computer skills; handheld scanning experience required, EXCEL. Team player with clear communication skills for store and vendor coordination.
