The Senior Shipping, Receiving & Materials Coordinator is responsible for overseeing and executing complex logistics, inventory control, and materials coordination functions. This role ensures timely and compliant shipping and receiving operations while managing raw material inventory to support production and operational needs. The coordinator serves as a key liaison between vendors, customers, purchasing, and internal departments, ensuring accuracy, regulatory compliance, and cost-efficiency in all logistics and materials processes. Candidates must be eligible to obtain the relevant security clearance required for the role, due to the nature of the programmes we deliver for our customers. Job Description
Shipping & Receiving (50%) Coordinate and execute all shipping and receiving operations, including creation of bills of lading, packing slips, export documentation, and hazardous goods paperwork. Ensure compliance with international, federal, and internal shipping regulations. Manage incoming deliveries: unload materials, inspect shipments, document receipts in the ERP system, and route materials to designated areas. Identify the most efficient and cost-effective carriers or shipping methods to meet delivery schedules and contractual obligations. Resolve shipping issues, including discrepancies in invoices, delays, and incorrect deliveries. Operate material handling equipment to transport goods safely throughout the facility. Materials Management (50%) Monitor and maintain accurate inventory levels of raw materials, parts, and finished goods. Coordinate with purchasing, production, and warehousing teams to track material movements and ensure materials are available to meet production demands. Initiate reorders by notifying Buyers/Materials team when inventory reaches pre-defined thresholds. Input and maintain material data within ERP or other inventory management systems for reporting, demand forecasting, and planning. Perform and document regular cycle counts and reconcile inventory discrepancies. Coordinate the transfer and staging of materials between facilities or departments. Qualifications: High school diploma or equivalent; associate degree in logistics, supply chain, or related field preferred. 35 years of experience in shipping/receiving and materials or inventory management. Strong understanding of shipping compliance (including hazardous materials) and documentation requirements. Proficiency in ERP systems and Microsoft Office Suite. Prior experience handling government property preferred but not a requirement. Experience operating forklifts or other material handling equipment (certification preferred). Excellent communication, problem-solving, and organizational skills. Ability to work independently and collaboratively in a fast-paced environment. Required to maintain security clearance.
