Job Summary
Th e Administrative Coordinator plays a vital role in supporting the smooth operations of our community-based physician practices. Acting as the first point of contact and gatekeeper, this role ensures that patients receive an exceptional experience while supporting clinical and administrative functions. The Coordinator helps maintain efficient workflows and contributes to delivering high-quality care.
Key Responsibilities Pro vide departmental support by performing receptionist and clerical duties Schedule patient appointments efficiently and accurately Answer telephone calls promptly, gather screening information, manage messages, and provide routine information Retrieve voicemail messages, return calls, and forward messages as needed Manage patient referrals and review health insurance payor information Organize and maintain patient records, logs, and other control systems, ensuring accuracy, confidentiality, and easy retrieval Coordinate new patient onboarding and related processes Support clinical scheduling and front desk check-in functions Assist with special projects and administrative tasks as assigned
Required Qualifications Hi gh school diploma or equivalent required Minimum of two years of medical office experience preferred Previous front desk or customer service experience in healthcare required Experience working with surgeons and clinical scheduling preferred Familiarity with electronic health records (EHR), preferably Epic
Preferred Qualifications Associate’s degree or higher preferred Demonstrated ability to multi-task, prioritize, and thrive in a high-volume outpatient setting Strong interpersonal skills, empathy, and a positive attitude towards patient care
