About the program : Technology Services delivers critical technology services to our component school districts. Our ability to work collaboratively across the county helps us deliver enterprise-scale solutions at reduced costs. These services include Network and Data Center services, Infinite Visions finance and human resources management system, Synergy student information management system and other technology services.
About this position: The Administrative Assistant III provides high-level administrative and secretarial support that enables the administrator to maintain focus on the executive functions of the department or program. The position requires exposure to highly sensitive information and involvement with school district and community contacts, requiring use of discretion, tact, diplomacy and judgment. The Administrative Assistant III requires a high level of skill in administrative, clerical and/or accounting tasks and assumes a lead worker role by coordinating and training other administrative support staff in the department * .
*For the Technology Services Administrative Assistant III position, there is a heavy emphasis on accounting and contracts.
Essential functions: Communication:
Represents CESD in a professional manner in all communications Determines and communicates the priority of phone calls, visitors, reports and correspondence with sensitivity and confidentiality Maintains confidentiality regarding all department matters Independently composes written correspondence for CESD Responds to inquiries and requests that require extensive knowledge of the ESD's programs and services Initiates written and oral communication on behalf of the administrator, acts as the primary communication contact for designated staff and communicates messages to appropriate personnel Works closely with the ESD's Fiscal and Human Resources departments on matters within the scope of assigned responsibility Data and Information:
Follows all FERPA (Family Educational Rights & Privacy Act) and HIPAA (Health Insurance Portability and Accountability Act) laws and requirements Leads the collection, analysis and reporting of complex data regarding department activities Assists with the year-end reporting process Conducts research and compiles and completes initial data analysis to prepare documents and reports for consideration and presentation by the administrator Manages implementation of grants and special projects, including budget projections, invoicing and tracking payments, completion of reports and deliverables and correspondence with funding agencies Fulfills department-level fiscal functions and/or technology purchasing, including processing requisitions, invoices, purchases, expenditure reports and reimbursements and reconciling account codes Fulfills department or program-level human resources functions, including tasks related to ESD employees, temporary professional employees and personal service contract employees Supports administrative tracking and reporting by preparing reports, memos, letters, requisitions, invoices and other documents using word processing, spreadsheet, database and/or presentation software Supports the department advisory committees by preparing agendas, minutes and reports and documenting attendance Supports the department in the implementation of software
Organization:
Acts as the executive assistant to the administrator Coordinates the administrator's calendar by arranging meetings and appointments and scheduling tasks and projects to allow the administrator to maintain their focus on established priorities Works with department administrators to provide support to and help train other administrative assistants in the department Reviews and screens incoming reports and correspondence via mail and email, making preliminary assessments and organizing documents Prepares for conferences, presentations and other events by coordinating the logistics of space, participants and other arrangements Manages the organization, storage and retrieval of technical tools, including files, binders, books, hardware and software
Minimum qualifications : Baseline Education/Experience:
High school diploma, GED or equivalent preparation Five years of recent experience fulfilling the functions of an administrative assistant role (up to two years of college-level education can be substituted for two years of experience)
Physical/Technical Skills:
Ability to organize and manage an administrator's schedule, phone calls, email, paperwork and work space Ability to compose, revise, edit and proofread professional documents Five years of experience using word processing, database, spreadsheet and presentation software Ability to work independently and use initiative and judgment in accomplishing tasks Ability to coordinate assignments and work independently, prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail Ability to generate and implement strategies to improve efficiency and enhance service delivery
Customer Service Skills:
Ability to use written and oral communication skills to explain policies, procedures and projects Ability to interact with employees, clients and the public using discretion, tact, diplomacy and judgment to represent CESD in a professional manner
Preferred qualifications:
Bilingual. Bilingual candidates must pass a language proficiency assessment at an intermediate high to advanced level per CESD guidelines to be eligible for bilingual salary placement
Salary : Range 18/19 *
of the Classified Salary Schedule.
New hires are eligible to start at up to Step 4 depending on experience, per the Classified Collective Bargaining Agreement.
Range 18 Starting Salary:
$27.40 - $29.85 per hour depending on experience. Range 19* Starting Salary:
$28.81 - $31.38 per hour depending on experience.
*Range 19 is for bilingual candidates who pass a language proficiency assessment at an intermediate high to advanced level in any of the major languages of our service communities (Spanish, Russian, Vietnamese, Cantonese, Mandarin, and American Sign Language).
