We are seeking a dynamic and highly organized
Receptionist / Administrative Assistant
. This individual will serve as the face of the organization, ensuring a professional, welcoming atmosphere for guests and employees alike, while also providing vital administrative and logistical support across departments.
The ideal candidate will handle sensitive and confidential information with the utmost discretion, demonstrate exceptional communication and coordination skills, and take pride in maintaining a clean, efficient, and well-stocked office environment.
Key Responsibilities:
Front Desk & Confidential Support
Greet and assist visitors with professionalism and warmth.
Answer and direct phone calls; manage general inquiries via email and mail.
Handle private, privileged, and sensitive information with absolute confidentiality and discretion.
Meeting & Event Coordination
Schedule and coordinate internal and external meetings, conferences, and special events.
Reserve conference rooms and set up video/teleconference equipment as needed.
Prepare and send meeting announcements and reminders.
Coordinate audio/visual needs, catering services, and presentation materials.
Provide on-site support during events, ensuring seamless execution.
Administrative Operations
Scan and manage daily documents and records with accuracy and attention to detail.
Order, receive, and stock office supplies; monitor inventory levels and reorder as needed.
Distribute supplies and materials to appropriate departments.
Handle pick-up and delivery of supplies and food/beverage services as needed.
Office Maintenance
Maintain a clean, organized, professional office and reception area.
Proactively identify and address facility needs to support a productive work environment.
Qualifications:
Proven experience as a receptionist, administrative assistant, or similar role.
High level of discretion and integrity in handling confidential information.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and video conferencing tools.

Pay:
$22 - $23.00 per hour
