Responsibilities
- As the Administrative Assistant, you'll be a central point of contact, managing schedules, handling correspondence, and organizing meetings to facilitate communication and information flow within the organization.
- Provide administrative support to ensure efficient operation of the office.
- Support managers and employees through various tasks related to organization and communication.
- Answer and direct phone calls; manage and maintain contact lists.
- Organize and schedule meetings, appointments, and travel arrangements.
- Produce and distribute correspondence memos, letters, faxes, and forms.
- Assist in the preparation and dissemination of regularly scheduled reports.
- Develop and maintain a filing system; order and maintain office supplies.
- Submit and reconcile expense reports; prepare and monitor invoices.
- Provide general support to visitors and respond to information requests.
- Research and create presentations; develop processes and handle multiple projects.
- Ensure the operation of office equipment, coordinating preventive maintenance and repairs as needed.
- Maintain professional and technical knowledge by attending educational workshops, reviewing publications, and participating in professional networks.
Required Skills & Experience
- Proficiency with Microsoft Word, Excel, and Adobe Acrobat/Writer.
- Strong organizational and time management skills.
- Ability to handle confidential and time-sensitive material with discretion.
- Excellent verbal and written communication skills (email, phone, and in-person).
- Proven experience in administrative support roles.
Desired Skills & Experience
- Experience using ServiceNow or similar ticketing/inquiry systems.
- Experience supporting HR or Benefits teams.
- Ability to generate reports and create presentations.
- Strong problem-solving and multitasking abilities.
Pay
$13.53 – $19.33 /hr.
