Job Title: Administrative Assistant

Location: Arlington, VA (Hybrid)

We are seeking a proactive, personable, and highly organized Administrative Assistant to support our dynamic Equity Research team. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with a variety of personalities, and is eager to contribute to a high-performing team. While prior financial services experience is not required, a strong sense of professionalism, discretion, and adaptability is essential. This role will operate on a hybrid schedule, working in office Tuesday-Thursday and working from home Monday and Friday. Hours are flexible, though most admins work 7/7:30am-4/4:30pm.

Key Responsibilities

  • Provide comprehensive administrative support to multiple research analysts and team leads.
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and format reports, presentations, and research materials.
  • Handle expense reporting and invoice processing in a timely and accurate manner.
  • Maintain confidentiality of sensitive information and ensure compliance with internal policies and industry regulations.
  • Serve as a point of contact for internal and external stakeholders with professionalism and warmth.
  • Anticipate team needs and proactively offer support to ensure smooth daily operations.

Qualifications

  • Minimum 3 years of administrative experience (industry agnostic).
  • Strong interpersonal skills – friendly, outgoing, and approachable.
  • Ability to remain calm under pressure and handle shifting priorities with grace.
  • Comfortable taking initiative and not afraid to ask questions or offer help.
  • Highly organized with strong attention to detail.
  • Flexible and adaptable to changing team needs and business priorities.
  • Demonstrated ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with expense and travel systems a plus.
