We're looking for a
Senior Administrative Assistant
who has a proven ability to work in a
fast-paced, results-oriented environment . You should have
high learning agility, strong organizational skills, and keen attention to detail . With
excellent communication and time management skills , you are able to
prioritize across multiple tasks, set expectations with stakeholders, and take initiative to follow through on requests . You can work independently or as part of a team and know how to adapt your style to efficiently and effectively support leaders and business needs. Key Responsibilities Complex Calendar Management Schedule appointments, meetings, and conferences, manage conflicts, and coordinate with other leaders and teammates as required.
Travel Arrangements Book flights, accommodations, and transportation; manage itineraries and documentation.
Meeting & Event Planning Secure event space, manage budgeting, catering, agenda planning, scheduling, reminders, and liaise with external parties.
Expense Reports, Budgets & POs Prepare expense reports, track budgets, and process invoices or purchase orders for vendors.
Document Preparation & Organization Produce, edit, and reformat documents, organizational charts, and presentations ( PowerPoint, Keynote Communications Draft, edit, or contribute to communications under leader's direction; manage distribution lists and send communications as needed.
Team Space Planning Coordinate workspace and equipment moves with stakeholders.
Special Projects Assist with project planning, progress tracking, and ensuring deadlines are met.
Team & Culture Building Work with leaders to foster team connection and engagement.
Qualifications & Experience: Bachelor's degree
in Business or related field (or equivalent combination of education, training, and experience). Minimum 3 years of administrative work experience. Proven ability to work effectively in a
fast-paced, results-oriented environment with high ambiguity. Experience with
budget tracking and travel booking
strongly preferred. Proficiency in
Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
and
virtual meeting tools (Zoom/MS Teams). Experience with
Keynote
a plus. Familiarity with
AI tools (ChatGPT, Microsoft Copilot)
a plus. Ability to occasionally work
outside core business hours
