Position Summary The Construction Project Coordinator is responsible for executing processes that ensure the efficient and effective completion of construction projects, including the delivery of company buildings and associated equipment from contract bids through construction completion. This role provides vital coordination between contractors, vendors, equipment installers, and internal teams to help projects stay on schedule and within budget.
Key Responsibilities (Essential Functions) · Assist the Construction Project team with obtaining, uploading, and organizing construction documents, drawings, photos, permits, change orders, and schedules in company databases. · Collect, process, and upload project information from general contractors, building manufacturers, vendors, and equipment installers. · Support preparation and collection of bid documents and quotes. · Maintain and update project schedules, milestone dates, and closeout documentation on a daily and weekly basis. · Coordinate with construction and accounting teams to track change order requests, invoicing, and payments to ensure accuracy and timeliness. · Proactively identify issues and recommend process improvements. · Track and report on critical deliverables and contractor/vendor performance metrics. · Communicate with city officials, utility providers, and state agencies to obtain permits, utilities, and other required materials. · Maintain accurate data in project-tracking software to ensure real-time visibility for the team. Qualifications Required · Bachelor’s degree in construction management, project management, business, or related field; or equivalent relevant experience. · Minimum of 1 year of project coordination experience, with demonstrated ability to manage multiple deadlines and competing priorities. · Proficiency in Microsoft Word, Excel, and PowerPoint; Smartsheet experience a plus. · Strong written and verbal communication skills to effectively interact with internal and external stakeholders. · High attention to detail with excellent organizational and problem-solving skills. · Demonstrated ability to work collaboratively in a team environment. · Willingness and ability to travel as required by projects. · OSHA 10 or OSHA 30 certification (or ability to obtain within 6 months of hire).
Preferred · Experience coordinating construction projects or vendor relationships. · Knowledge of construction permitting processes and utilities coordination.
