Description

Hospice El Paso is the oldest (40+ years) and largest non-profit hospice in the community. We were founded by El Pasoans for the sole purpose of providing specialized care, comfort and support to persons with a terminal illness, regardless of their ability to pay.

Our main focus is maximizing the remaining quality of life for the dying, while also providing support for their caregivers and loved ones. Specialized teams provide compassionate comfort and care and are comprised of physicians, registered nurses (RNs), certified nursing assistants, social workers, chaplains, plus admissions counselors and support staff.

The majority of these services are provided at home. Hospice care can also be provided in nursing, foster, and assisted living homes; along with rehabilitation centers and skilled nursing facilities.

The "Center for Compassionate Care" is the city's first stand-alone "hospice in-patient facility." We provide acute hospice care in a quiet and comfortable setting. In this home-like setting, patients receive 24-hours of specialized skilled care when pain and symptoms cannot be managed in a home environment.

The Receptionist receives and directs telephone calls for Hospice El Paso in an efficient and professional manner, and provides clerical assistance to various departments. The Receptionist is the initial contact for callers and visitors and is crucial to the positive and professional image of the Agency.

Duties and Responsibilities:

1. Opens the switchboard and office every day at 8:00 am.

2. Responds to requests to locate personnel in an accurate and timely manner.

3. Provides information to visitors, guests, family members, vendors, etc. as needed.

4. Greets visitors, has them sign in, issues visitors' badge, and directs them to appropriate offices and/or staff members.

5. Opens, sorts, and distributes mail daily in an accurate and timely manner and forwards appropriately.

6. Processes checks received by mail according to agency policy.

7. Handles release of payables checks according to agency policy.

8. Assists with data entry and retrieval as needed.

9. Creates and/or completes documents and forms and other related tasks.

10. Assists with files and records maintenance of hard copy and electronic information, using chronological and alphabetical systems.

11. Distributes information and paperwork to internal and external receivers via U.S. mail, internal mailbox and/or department/employee distribution, telefax and e-mail transmission sources.

12. Prepares schedule for conference room making arrangements for its use as directed.

13. Prepares and distributes the monthly calendar by the 25th day of the month preceding the month to be scheduled.

14. Process 1st Bereavement correspondence for Bereavement Coordinator.

15. Responds to donor inquiries and special instructions in an accurate, timely and appropriate manner.

16. Secures doors and off lighting after transferring calls to answering service at 5:00 pm.

17. Maintains mailboxes by adding new employees and removing terminated employees.

18. Acts as translator, English to Spanish and Spanish to English for clinical staff and patients, families and other external customers.

19. Serves as back-up, as needed, for all Departmental Assistants.

Requirements

QUALIFICATIONS

  1. Must possess a high school diploma.
  2. Must have 2-3 years' experience in a reception/office position, Medical-related background preferred, successful completion of a secretarial program from an accredited school/college preferred.
  3. Marketing/customer service training preferred.
  4. Able to speak English and Spanish in a grammatically correct and appropriate manner.
