Position Summary:
The
Paralegal / Contracts Manager
will play a critical role in managing legal and regulatory documentation throughout the lifecycle of a mixed-use land development project. The role involves coordinating HUD registration, managing permitting workflows, supporting contract review and administration, and ensuring compliance with local, state, and federal regulations.
Key Responsibilities: HUD and Regulatory Compliance: Prepare, submit, and maintain HUD registration and related documentation (e.g., Interstate Land Sales Full Disclosure Act filings, 4010 forms). Ensure compliance with HUD and other regulatory requirements throughout the development process. Track and update compliance timelines, renewals, and reporting obligations.
Permitting and Land Use Coordination: Coordinate and track all permitting applications and approvals with local, state, and federal agencies. Maintain database of zoning, land use, environmental, and building permits across project phases. Liaise with municipal departments, consultants, and development teams to resolve permitting issues.
Contracts Management and Legal Support: Draft, review, and track development-related agreements, including construction contracts, vendor agreements, consultant contracts, and NDAs. Assist with negotiating standard terms and monitoring contract obligations, timelines, and renewals. Maintain organized contract management system (digital and physical) to ensure document accessibility and version control.
Project and Transactional Support: Support real estate closings, title matters, and easement documentation in coordination with legal counsel and title companies. Assist in preparing due diligence materials and legal exhibits for project financing and investor packages. Conduct legal research and prepare memos or summaries related to land use, zoning, and contract law.
Qualifications: Bachelor’s degree required; Paralegal Certificate or equivalent legal training preferred. 5+ years of relevant experience in a legal or real estate development setting, preferably involving land development or construction projects. Familiarity with HUD registration processes and regulations (e.g., ILSA) strongly preferred. Strong understanding of permitting processes, real estate documentation, and contract law. Exceptional attention to detail, organizational, and time management skills. Ability to manage multiple tasks and deadlines in a fast-paced environment. Proficiency in Microsoft Office and contract/document management systems (e.g., DocuSign, SharePoint, or similar).
Preferred Experience: Experience supporting large-scale mixed-use developments or public-private partnerships. Exposure to affordable housing, HUD financing, or municipal development processes. Working knowledge of construction law, AIA contracts, and development agreements.
