Job Title: Receptionist
Reports To: Office Manager / Administrative Supervisor
Job Summary
The Receptionist serves as the first point of contact for visitors, clients, and staff. This role is responsible for greeting guests, answering phone calls, managing front desk operations, and providing general administrative support to ensure the smooth running of the office.
Key Responsibilities
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls.
- Maintain a tidy and organized reception area.
- Receive, sort, and distribute mail and deliveries.
- Schedule appointments, manage calendars, and update meeting room reservations.
- Provide basic information to clients, residents, or staff as needed.
- Assist with administrative tasks such as data entry, filing, and preparing documents.
- Monitor office supplies and place orders as directed.
- Uphold confidentiality and handle sensitive information with discretion.
- Support other departments with clerical tasks as required.
Qualifications & Skills
- High school diploma or equivalent (Associate’s degree preferred).
- Prior experience in a receptionist, front desk, or administrative role is an asset.
- Strong verbal and written communication skills.
- Proficient with Microsoft Office (Word, Excel, Outlook) and phone systems.
- Excellent organizational and multitasking abilities.
- Professional appearance and demeanor.
- Ability to remain calm and courteous under pressure.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- May need to lift up to 20 lbs occasionally (packages, office supplies).
