Overview

The Receptionist provides exceptional service by greeting and assisting all visitors and answering inbound calls. Continuously offers the highest level of service to all corporate employees and their visitors. Maintains a professional image of the company by providing prompt, courteous, and efficient service. May be cross-trained to assist in other SPS service areas such as mail/shipping operations, hospitality, and general office/facilities work based on operational needs to provide a top-tier customer experience.

Overall, this position continuously offers the highest level of service to all clients and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.

Main Functions

  • Primary function of reception/concierge: answer all calls/correspondences and provide an exceptional customer service experience for all incoming/outgoing visitors.

Responsibilities

  • Provide 5-star customer service to all employees and visitors in all forms of communication.
  • Answer incoming telephone calls and route callers to the appropriate person.
  • Ensure all visitors complete, sign, and understand responsibilities for adhering to the corporation’s NDA.
  • Log visitors into the registration system and activate temporary badges as needed.
  • Issue facility access cards to employees and manage badge-related tasks.
  • Answer and route global or confidential calls professionally and expeditiously.
  • Prioritize calls and escalate issues as appropriate.
  • Maintain current phone and speed dial lists; train back-up staff and provide guidance on policies and procedures.
  • Coordinate inbound deliveries and direct deliveries as appropriate (e.g., Mail Room).
  • Provide light administrative support (scheduling meeting rooms, ordering catering, assisting other teams with various tasks).
  • Track loaned access cards and coordinate with Security for unreturned cards.
  • Build professional relationships with customers and internal teams.
  • Maintain a neat reception area and manage visitor reading materials.
  • Maintain and replenish barista, pantry, conference, kitchen, and meeting areas; perform meeting room setups.
  • Monitor office supplies and place replenishment orders as needed.
  • Assist with copy/print tasks and monitor equipment as required.
  • Maintain professionalism and composure in all interactions; assess needs and provide back-of-house coverage as needed.
  • Seek additional work during downtime and contribute to a positive client experience.

Qualifications and Education Requirements

  • High School Diploma (or equivalent) required.
  • 1-3 years of prior work experience; strong preference for administrative/reception/concierge roles.
  • Ability to work assigned hours determined by the manager.
  • Excellent organizational and time-management skills.
  • Analytical abilities and problem-solving aptitude.
  • Strong written and verbal English communication skills.
  • Customer-driven attitude with ability to multi-task and prioritize; comfortable working with internal and external clients.
  • Proficiency with computer-based systems (multi-phone line systems, PC/Mac, MS Office, copiers/scanners, fax/mail machines, and related devices).
  • Maintain professional appearance and adhere to policies and procedures.

Physical Demands

  • Ability to grasp, lift and move packages up to 60 lbs on a standard wheeled cart; may lift or move 40 lbs frequently.
  • Ability to walk, bend, kneel, stand, and/or sit for extended periods.
  • Manual dexterity for operating office machinery (phones, copiers, binding equipment, etc.).

$22.95 USD
