Overview
The Receptionist provides exceptional service by greeting and assisting all visitors and answering inbound calls. Maintains a professional image of the company by providing prompt, courteous, and efficient service. May be cross-trained to assist in other SPS service areas such as mail/shipping operations, hospitality, and general office/facilities work based on operational needs to provide a top-tier customer experience.
Overall, this position continuously offers the highest level of service to all clients and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.
Responsibilities
- Primary function of reception/concierge: answer all calls/correspondences and provide an exceptional customer service experience for all incoming/outgoing visitors.
- Provide 5-star customer service to all employees and visitors (in all forms of communication).
- Answer incoming telephone calls and route callers to the person who can best assist them.
- Ensure all visitors complete, sign, and understand their responsibility for adhering to the corporation’s NDA.
- Log visitors into the registration system.
- Activate access for temporary badges for employees who forgot or lost their badge or are experiencing issues with their current badge.
- Issue facility access cards to employees.
- Answer and properly route global calls, some confidential in nature, using the company-wide switchboard or provide appropriate information to the caller. Handle calls professionally and expeditiously with a high standard of customer service.
- Prioritize calls and escalate customer service issues to the proper chain of command.
- Take initiative to ensure the company phone and speed dial lists are current.
- Train a back-up and provide guidance on policies and procedures.
- Notify employees upon receipt of inbound deliveries or route to the Mail Room as appropriate.
- Provide light administrative support to staff as directed (scheduling meeting rooms, ordering catering, assisting other teams with tasks).
- Follow up on loaned access cards to ensure all are returned and contact Security if not returned by the end of the day.
- Build professional relationships with customers and other teams.
- Maintain the reception area in a neat and orderly fashion, including visitor reading materials.
- Service and replenish the barista, pantry, conference, kitchen, and meeting areas; perform meeting room set-ups.
- Monitor office supplies, replenish, and order as needed.
- Assist with copy/print orders and equipment functionality.
- Maintain professionalism and composure when interacting with all callers/visitors.
- Assess what additional support is needed when handling sensitive inquiries in person or on the phone; provide back-of-office coverage as needed.
- Proactively seek additional work during downtime.
Qualifications And Education
- High School Diploma (or equivalent) required.
- 1-3 years of prior administrative/reception/concierge experience preferred.
- Ability to work assigned hours determined by the manager.
- Excellent organizational and time management skills.
- Analytical abilities and problem-solving aptitude.
- Superb written and verbal English communication skills.
- A strong customer-service orientation with a professional appearance.
- Ability to multi-task and prioritize tasks and customer needs.
- Proficiency with computer-based systems (Multi-phone line systems, PC/Mac, MS Office, printers/copiers, fax/mail machines, and related devices).
- Professional appearance and adherence to company policies.
Physical Demands
- Fine and/or gross motor skills to handle packages; ability to lift up to 60 lbs with a wheeled cart.
- Ability to walk, bend, kneel, stand, and/or sit for extended periods.
- Manual dexterity for operating office machinery.
- Ability to lift or move 40 lbs or greater frequently.
