Job Details

Job Title: Receptionist

Reports To: The Receptionist will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Main Functions

  • Primary function of reception/concierge: answer all calls/correspondences and provide an exceptional customer service experience for all incoming/outgoing visitors.
  • Light facilities/hospitality work: assist customers to open troubleshooting tickets, help order supplies, stock kitchens/service areas with supplies, and help set up/take down conference rooms for meetings/events as needed.
  • Mail Service: cross-trained to assist mail services as needed, including sorting/distributing mail and receiving/tracking packages.

Duties And Responsibilities

  • Provide 5-star customer service to all employees and visitors in all forms of communication.
  • Answer incoming telephone calls and route callers to the appropriate person.
  • Ensure all visitors complete, sign, and understand their responsibility for adhering to the corporation’s NDA.
  • Log visitors into the registration system and activate temporary badges as needed.
  • Issue facility access cards and manage badge-related processes.
  • Address calls professionally and efficiently, routing to the proper contact and maintaining high service standards.
  • Prioritize calls and escalate issues as necessary.
  • Maintain and update the company phone and speed dial lists.
  • Train a back-up and provide guidance on policies and procedures.
  • Notify employees about inbound deliveries and manage mail room delivery processes where appropriate.
  • Provide light administrative support (scheduling meeting rooms, ordering catering, assisting other teams with tasks).
  • Return loaned access cards and coordinate with Security if not returned by day end.
  • Build professional relationships with customers and other teams; keep the reception area neat and orderly.
  • Service and replenish barista, pantry, conference, kitchen, and meeting areas; perform meeting room setups.
  • Monitor and replenish office supplies; assist with copy/print tasks and equipment upkeep.
  • Maintain professionalism and composure when interacting with callers/visitors.
  • Assess additional support needs for sensitive inquiries and provide back-of-house coverage as needed.
  • Proactively seek additional work during downtime.

Qualifications And Education Requirements

  • High School Diploma (or equivalent) required
  • 1-3 years of prior work experience; strong preference for administrative/reception/concierge background
  • Ability to work assigned hours determined by the manager

  • Strong written and verbal English communication skills
  • Customer-focused, task-driven personality
  • Ability to multi-task and prioritize tasks and customer needs
  • Knowledge or ability to learn computer-based systems (multi-line phones, PC/Mac, MS Office, copiers/scanners, fax/mail devices)
  • Professional appearance and attitude; adherence to policies

Physical Demands

  • Lift/carry up to 60 lbs with a standard wheeled cart; fine and gross motor skills
  • Walk, stand, sit, and move as part of daily duties
  • Manual dexterity for operating office machinery
  • Ability to lift or move 40 lbs or greater frequently
