Position Overview
A private household is seeking an Interior Design Project Coordinator to support its design team with the execution and management of multiple luxury residential projects. This is not a design role, but rather a coordination and operations-focused position working with designers, architects, and vendors to ensure that approved selections are purchased, tracked, delivered, installed, and documented accurately. The ideal candidate is highly organized, detail-oriented, and process-driven.
Responsibilities
Coordinate with interior designers, architects, contractors, and vendors to execute approved design plans
Manage purchasing, ordering, and tracking of furnishings, fixtures, lighting, rugs, art, window treatments, fabrics, and décor
Oversee delivery, installation, and organization of design elements across properties
Verify order accuracy (dimensions, finishes, quantities) per design team specifications
Maintain project timelines, delivery schedules, and progress tracking
Handle returns, replacements, damage claims, and reorders
Generate purchase orders, process invoices, and track payments
Organize and archive all design materials, selections, and documentation for each project
Build detailed project binders and digital files with spec sheets, photos, warranties, and sourcing details
Create and maintain inventory lists and photo logs for installed and stored items
Provide clear and timely progress updates to stakeholders
Qualifications
Bachelors degree in design, architecture, or a related field (required)
At least 3 years of experience in design project coordination, FF&E purchasing, or related work (recent graduates with internships will also be considered)
Strong organizational and documentation skills; proficient in spreadsheets and project tracking tools
Knowledge of high-end furnishings, finishes, and design industry logistics
Excellent communication skills and vendor management experience
Proficiency with Excel, Word, and project management software
Ability to travel occasionally for installations, walkthroughs, or vendor meetings
Discreet, professional, and reliable in handling confidential environments
Minimum two-year commitment to the role
