Job Description:
The Human Resources Assistant serves as a critical support professional in the College of Liberal Arts and Sciences (CLAS) Dean’s Office. Reporting directly to the HR Business Partner, this position provides essential assistance with daily HR administration, records maintenance, communication tracking, recruitment coordination, onboarding, and general administrative functions. The HR Assistant also supports the HRBP with project execution and the implementation of college-wide HR processes, as well as special initiatives under the Dean’s Office.
HR Operations
- Submit personnel actions (ePAFs) as the designated department user for the Dean’s Office, and as needed, for other college units.
- Maintain employment files for the Dean’s Office, ensuring accuracy, compliance, and confidentiality.
- Assist with the creation and upkeep of college HR documentation, including organizational charts, guides, templates, and project tracking sheets.
- Participates in HR-related projects, including data collection, process updates, and documentation improvements.
- Assist the HRBP with compiling payroll edits, coordinating corrections, and reviewing preliminary payroll reports.
- Supports the college’s staff mentorship program by tracking assigned mentorships and related records.
- Monitor the college HR inbox, route incoming messages to appropriate staff, and respond to general inquiries.
- Assist with the preparation of monthly or ad hoc HR reports as requested.
- Distribute HR announcements, reminders, and deadlines to units or stakeholders.
Employment Lifecycle
- Draft job descriptions and advertisements for review and posting.
- Prepare draft offer letters and related employment documents.
- Coordinate onboarding processes, including background checks, health assessments, RISC clearance, and I-9 reverification processes.
- Schedule candidate interviews, coordinating logistics including Zoom/Teams links, location reservations, and preparation of interview packets.
- Collect and organize search documentation, including interview evaluations, reference checks, and selection memos.
- Assemble welcome packets and prepare onboarding materials for new employees.
- Coordinate with UFIT, Facilities, and Security for equipment, space setup, and access for new hires.
- Coordinates with units to support timesheet monitoring, time approval tracking, and payroll calendar distribution as needed.
- Monitor deadlines and ensure timely completion of probationary reviews, performance evaluations, and required trainings.
Administrative Support
- Provide occasional front-desk coverage and assist with administrative tasks in support of the Dean’s Office.
- Support HR or Dean’s Office initiatives such as new policy rollouts, training sessions, or recognition programs.
- Assist with planning, logistics, materials, and communication for Dean’s Office events or workshops.
- Schedule HR-related meetings, including interviews, onboarding sessions, and trainings.
The salary is $19 - $21 per hour, commensurate with qualifications and experience.

Required Qualifications:
High school diploma or equivalent and three years of appropriate experience.
Preferred:
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 1–2 years of experience in HR, office administration, or higher education.
- Familiarity with HR principles and university processes; strong organizational skills and attention to detail.
- Proven discretion with confidential information; sound judgment and clear written/verbal communication.
- Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint; ability to learn new systems.
- Ability to work independently and collaboratively in a service-oriented environment.
