STAFF ASSISTANT I

The City of Worcester is seeking qualified applicants for the position of
Staff Assistant I
for the Department of Transportation and Mobility. Under the direction of the Commissioner of Transportation and Mobility, the position provides administrative, financial and customer service support for the Department, primarily working with the parking operations team. The Staff Assistant I is responsible for front-facing customer service, supporting invoice processing and payment tracking, payroll, meeting scheduling, records management, will support the Off-Street Parking Board meetings, and will be assigned to complete special projects.

ESSENTIAL ELEMENTS:
Provide administration and financial support to management and staff
Perform customer service functions by responding to public requests and questions received via telephone, e-mail and/or walk-in inquiries
Process financial transactions and recordkeeping, including procurement activities, such as encumbering purchase orders, processing accounts payable, and payroll
Assist with grant oversight and receipt preparation to include monitoring programs and submitting reimbursements for various State and Federal grants using appropriate internal and external systems
Assist with preparation and review of correspondence
Schedule and organize meetings, including preparing agendas, confirming meeting locations, and organizing meeting arrangements.
Prepare reports related to the tracking of division activities and actions, to include monitoring capital finances
Maintain accurate files of billing or other information according to City/department protocols and applicable State or Federal requirements
Assist with the accounting and administrative tasks related to the parking program day-to-day operations including but not limited to the Residential Parking Program, Booting and Abandoned Vehicle Program.
Conduct regular office supplies inventory and management
Process mail correspondence
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of using software and databases to track, monitor, and reconcile revenues and expenditures
Knowledge of the common principles and practices of accounting
Computer proficiency, including Microsoft Office Suite
Proficient business mathematical skills
Proficient recordkeeping and organizational skills
Proficient customer service skills and ability to interact with members of the public, job applicants, etc.
Proficient written and verbal communication skills
Ability to work independently and as part of a team
Ability to perform and prioritize multiple tasks in a detailed and timely manner
Ability to prioritize and perform a variety of financial and personnel processes in a detailed and timely manner
Ability to identify issues and effectively problem solve
Ability to maintain confidentiality
Ability to establish and maintain effective working relationships with diverse populations, organizations, and interests.
Ability to take initiative to identify opportunities for process improvement
Ability to learn, be adaptable, flexible, and detail-oriented
Regular on-site attendance is required.
MINIMUM REQUIREMENTS:
High School diploma or equivalent
One (1) year of comparable work experience
Experience working with financial information such as billing, collections, payable/receivables, etc.
PREFERRED QUALIFICATIONS:
Associate's degree in Business, Finance, or related discipline
Two (2) years of experience in customer service and/or office support
Three (3) years of experience with processing and/or managing accounts payable
Working knowledge of Workday software
SALARY RANGE:
$26.54 - $32.01 hourly, full-time, with excellent benefits package.
