Position Summary
The Legal Executive Administrative Assistant is a key position that provides daily support in supporting their Leader to assist in accomplishing the key Company goals and initiatives by providing several forms of high-level support to Executives and across the organization. The Legal Executive Administrative Assistant performs work in a fast-paced environment, and must multi-task, treat confidential data and information with complete discretion, and exercise cross-functional and project management skills on a daily basis.
Job Duties/Responsibilities
Provides administrative support to senior level executive, professionally representing the executive and the company
Maintains business correspondence, including phone, regular mail and e-mails
Coordinates the Executive's calendar and independently schedules appointments
Screens incoming calls and correspondence and responds independently when possible
Coordinates meetings, programs, and events by arranging for facilities and caterer, issuing information or invitations, coordinating logistics and event budget
Prepares documents such as agendas, notices, minutes for meetings
Creates and maintains database and spreadsheet files and acts as custodian of documents and records
Arranges travel plans, itineraries, and compiles documents for travel-related meetings
Prepares expense reports and manages overall department budget
Prepares confidential correspondence, reports, and other documents
Tracks department paid time off requests
Assists with the new hire process, including correspondence with HR and scheduling interviews
Legal invoice management
Manages various ongoing projects as needed
Complete other duties and projects, as assigned
Minimum Required Qualifications
Strong written and verbal communication skills
Strong attention to detail and organizational skills
Ability to multi-task and learn quickly
Excellent customer service skills
Ability to develop relationships with internal and external stakeholders
Strong Microsoft Office (including Power Point), Teams and Adobe Acrobat skills
Knowledge of standard office procedures and technology; comfort with administrative support functions
Excellent verbal and written communication skills
Ability to organize and prioritize
Close attention to detail
Ability to operate under tight deadlines, to self-start and be accountable for maintaining high, reliable quality standards in a fast-paced team environment
Education:
Associate Degree or Bachelor's Degree

5 + years executive level administrative support experience

Pay
This is an hourly position with wages starting at $37.50 and pays up to $51.50, based on experience and qualifications.
