A dynamic commercial real estate firm in downtown Chicago is looking for a skilled Administrative Assistant to become the cornerstone of their team. In this role, you'll be the primary point of contact for building owners, tenants, and outside vendors, ensuring seamless day-to-day operations. Your responsibilities will include handling tenant communications, coordinating with external partners, and ensuring monthly tenant rent is processed accurately and on time. The role offers a competitive salary of $53,000 dependent on experience. Mack & Associates offers benefits including medical, PTO and 401k.

Key Responsibilities of the Administrative Assistant:

  • Handle incoming calls with a friendly and professional attitude, creating a positive first impression
  • Draft and proofread internal memos and reports with accuracy and attention to detail
  • Respond swiftly to tenant requests, ensuring their needs are met promptly
  • Maintain ongoing communication with external vendors to keep operations running smoothly
  • Prepare and send out invoices on time to keep the billing cycle on track
  • Organize and manage building tenant events, turning them into memorable experiences
  • Keep filing systems, both physical and electronic, meticulously organized
  • Manage office inventory and ensure workspaces are neat and ready for use
  • Contribute to special projects as assigned, showing adaptability and creativity

Qualifications of the Administrative Assistant:

  • Some administrative and customer service experience
  • Bachelor’s degree is preferred
  • Proficient in Microsoft Office Suite
  • Ability to prioritize multiple tasks and meet deadlines
  • Must have strong initiative and customer service skills
  • Superb communication skills, both written and verbal
  • Highly organized with keen attention to detail
