Senior Administrative Assistant

We are looking for an Administrative Assistant III to play a vital role in supporting the success of an academic research institution. As a highly skilled and experienced administrative professional, you will provide exceptional support to a faculty director and their team, ensuring seamless day-to-day operations and delivering outstanding results.

Responsibilities

  • Manage calendars, coordinate logistics, and anticipate and initiate actions to ensure the smooth operation of the office
  • Provide advanced administrative support to the faculty director, including calendar management, correspondence, and travel arrangements
  • Coordinate events, programs, and projects, including planning, execution, and follow-up
  • Develop and maintain paper and electronic filing and record-keeping systems related to the faculty director's office
  • Respond to inquiries requiring an in-depth understanding of academic area and Institute policies and procedures
  • Prepare and process purchasing, accounting, and travel forms
  • Maintain office supplies and equipment inventory, and coordinate new purchases as necessary
  • Provide exceptional customer service to internal and external constituents
  • Make decisions on issues and priorities for own work area; make recommendations to solve and resolve highly complex problems

Qualifications

  • Bachelor's degree preferred
  • 5+ years of administrative, executive assistant, or related experience
  • Proven ability to work independently and as part of a team with minimal supervision
  • Keen attention to detail and accuracy in work
  • Excellent interpersonal and organizational skills and resourcefulness
  • Strong verbal and written communication skills, including a poised phone presence and excellent grammar and proofreading ability
  • Advanced computer software skills, including proficiency with Microsoft Office, WordPress, database management, and desktop publishing software
