Job Title : Full-Time - Entry Level Position - Personal Assistant needed in Fremont, CA (94539) LOCAL CANDIDATES ONLY
Location : Fremont, CA 94539
Schedule : 9 am - 5:30 pm with a 30-minute lunch break, will be the typical workday hours.
Candidates should expect to work some evenings and events. No expected travel.
Position Overview : We are seeking a bright, motivated, and tech-savvy recent college graduate to join our team as a full-time Personal Assistant (PA). This role will work directly under the House Manager, providing comprehensive support across personal, household, and administrative needs. The ideal candidate is detail-oriented, proactive, and eager to grow in a dynamic environment.
Key Responsibilities:
Administrative Support
- Sort, organize, and manage mail and digital correspondence
- Scan, file, and maintain important documents
- Manage personal and household calendars
- Track orders, returns, and receipts
- Handle various errands as needed
- Household budgets and light bookkeeping
Household Management
- Procure household and office supplies
- Schedule and oversee vendors and service providers
- Coordinate car maintenance and care
- Support organizational and home improvement projects
Staff & Vendor Management
- Manage schedules and communication with housekeepers, chef, gardeners, arborist, pest control, pool staff, and others as needed
- Ensure smooth coordination across all vendors and staff
Travel Coordination
- Arrange domestic and international travel
- Work directly with the travel agent (Kanu’s company) to manage bookings, logistics, and itineraries
- Prepare travel documentation and ensure smooth execution
Database & Gifting Management
- Maintain spreadsheets, email lists, and household databases
- Support personal and professional gifting, including idea generation, ordering, and tracking
Event & Party Planning
- Create and send invitations, track RSVPs
- Oversee vendors, order supplies, and coordinate decor/food
- Be present on event day to manage logistics and ensure smooth execution
Innovation & AI Utilization
- Leverage AI tools to improve efficiency and enhance task execution
- Continuously explore new technologies to improve workflows

Qualifications
- Internship or part-time job experience is preferred.

- Compensation : $60-65K per year DOE with a $5K performance bonus. $300/month stipend for benefits. 2 weeks PTO/sick time to begin.
