- Makes recommendations for payroll-related matters and provides training as needed (i.e., Managers, staff) to ensure compliance and full utilization of tools.
- Responsible for the timely, accurate, and compliant processing of payroll. Audits and processes payroll documents. Processes employee data for new hires, changes, additional earnings, and other updates.
- Processes employee time and attendance data for payroll and reconciles variances. Approves and releases time in the time system.
- Prepares and maintains employee files, ensuring accuracy and compliance.
- Maintains records of vacation and sick time.
- Develops an in-depth understanding of payroll software and creates reports on demand.
- Assists employees in registering for or resetting access to the online payroll system.
- Responsible for month-end duties, including approving HR-related invoices, ensuring timely payments, and submitting payroll accruals with management approval.
- Maintains vendor contacts for payroll, recruiting, and other HR-related services.
Benefits Administration
- Administers all employee and volunteer benefit programs such as medical, dental, vision, disability, retirement plans (Defined Contribution 401(k) & Defined Benefit Plans), I-9/E/E-Verify, workers' compensation, and life insurance claims.
Responsible for:
- Employee onboarding: Providing in-depth benefit presentations for new hires during onboarding, distributing enrollment materials, and determining eligibility.
- Employee service: Assisting employees with benefits claim issues, plan inquiries, enrollments, and status changes. Managing updates to employee life status.
- Vendor management: Collaborating with HR benefit partners for escalated support, including plan design, claims administration, appeals, COBRA, retirement administration, and HRIS data integrity.
- Employee education: Preparing and conducting meetings to help employees understand company benefits. Ensuring employee forms and resources are updated on the intranet.
- Data integrity: Ensuring accuracy of benefit enrollments, providing vendors with correct eligibility info, and updating the HRIS database accordingly. Maintaining employee benefit files per retention policies.
- Employee leaves: Working with HR to interpret FMLA and ADA implications, and processing leave-of-absence and disability paperwork.
- Employee termination: Recording, tracking, and administering benefits continuation in compliance with COBRA laws. Developing understanding of HRIS and vendor systems. Creating reports as needed.
- Participating in new employee onboarding processes.
- Responding to employment verification requests and surveys.
- Ensuring all reporting, forms, and posters are current and maintained.
- Assisting with processing terminations and performance reviews.
- Supporting recruitment and interview processes, tracking candidate status in HRIS, and following up accordingly.
- Scheduling meetings and interviews as requested.
- Performing clerical tasks such as photocopying, mailing, scanning, and emailing documents.
- Contributing to HR department goals and objectives.
- Providing backup for HR duties as needed.
