Lakeshore Talent has partnered with a healthcare facility in Chicago to staff an Executive Assistant role to the Chief Medical Officer and Chief Nursing Executive.

Executive Assistant

Location: Chicago, IL

Schedule: Monday – Friday, 7:30am – 4:00pm

Pay Range: $32 – $40 per hour

Type: Temp-to-Hire

Requirements: Proof of vaccinations, including COVID-19 and flu

About the Role

The Executive Assistant to the Chief Medical Officer (CMO) and Chief Nursing Executive (CNE) plays a vital role in supporting executive leadership and ensuring the smooth coordination of day-to-day operations. This position requires a highly organized professional who can handle confidential information, manage complex schedules, and serve as a liaison across multiple departments and stakeholders.

Key Responsibilities

  • Draft, edit, and prepare confidential correspondence, memos, and meeting minutes.
  • Manage incoming calls, emails, correspondence, and mail distribution.
  • Provide complex calendar management, including scheduling, meeting preparation, catering, and materials distribution.
  • Coordinate travel arrangements, including transportation and accommodations.
  • Monitor budgets and ledger details for accuracy, process invoices and purchase orders, and track variances.
  • Maintain office supply inventory and oversee resource requests for new employees.
  • Prepare and design executive-level presentations and reports using advanced Microsoft Office applications.
  • Maintain personnel files, licensure/certification lists, and continuing education records.
  • Communicate effectively with internal departments, external vendors, physicians, and staff, serving as liaison for the CMO and CNE.
  • Support special projects and additional administrative duties as assigned.

Qualifications

Required:

  • Bachelor’s degree or equivalent professional experience.
  • 7–10 years of administrative or executive assistant experience, including at least 3 years supporting senior-level executives.
  • Advanced proficiency in Microsoft Office Suite.
  • Strong interpersonal, organizational, and communication skills.
  • Ability to work independently in a fast-paced, confidential environment.

Preferred:

  • Previous experience in healthcare administration.
