Executive Assistant
Location: Chicago, IL
Schedule: Monday – Friday, 7:30am – 4:00pm
Pay Range: $32 – $40 per hour
Type: Temp-to-Hire
Requirements: Proof of vaccinations, including COVID-19 and flu
About the Role
The Executive Assistant to the Chief Medical Officer (CMO) and Chief Nursing Executive (CNE) plays a vital role in supporting executive leadership and ensuring the smooth coordination of day-to-day operations. This position requires a highly organized professional who can handle confidential information, manage complex schedules, and serve as a liaison across multiple departments and stakeholders.
Key Responsibilities
- Draft, edit, and prepare confidential correspondence, memos, and meeting minutes.
- Manage incoming calls, emails, correspondence, and mail distribution.
- Provide complex calendar management, including scheduling, meeting preparation, catering, and materials distribution.
- Coordinate travel arrangements, including transportation and accommodations.
- Monitor budgets and ledger details for accuracy, process invoices and purchase orders, and track variances.
- Maintain office supply inventory and oversee resource requests for new employees.
- Prepare and design executive-level presentations and reports using advanced Microsoft Office applications.
- Maintain personnel files, licensure/certification lists, and continuing education records.
- Communicate effectively with internal departments, external vendors, physicians, and staff, serving as liaison for the CMO and CNE.
- Support special projects and additional administrative duties as assigned.
Qualifications
Required:
- Bachelor’s degree or equivalent professional experience.
- 7–10 years of administrative or executive assistant experience, including at least 3 years supporting senior-level executives.
- Advanced proficiency in Microsoft Office Suite.
- Strong interpersonal, organizational, and communication skills.
- Ability to work independently in a fast-paced, confidential environment.
Preferred:
- Previous experience in healthcare administration.
