Executive Assistant

Location: Onsite in Redwood City, CA 94063

Schedule: HYBRID; Full time, 40 hours a week

Pay: $50/hr

Targeted Start: October 13, 2025

Duration: 6-7 month contract

Responsibilities include:

  • Extensive calendaring for three principals
  • Expense reporting for three principals
  • Manage varying travel schedules for two principals, including light travel for one and quarterly trips for the other
  • Contract Management for the entire Brand & Comms team
  • Collaborate with the other Brand & Comms Executive Assistant to:
    • Plan team-building events
    • Co-create agenda and content for team meetings
    • Coordinate logistics to ensure smooth execution of large team meetings
  • Team communications:
    • Facilitate communication across the Brand & Comms team through updates, meeting coordination, and cross-functional information sharing
    • Cross-functional collaboration with the teams below, including scheduling, coordination, and participating in meetings as needed

Experience:

  • 5 - 8 years of Executive Assistant experience; transferable skills are acceptable
  • EA-related responsibilities such as event planning, team building, and content generation

Skill Sets:

  • Strong written and verbal communication skills, coordination, organization, and time management skills
  • Ability to handle and prioritize ad-hoc tasks
  • Understands the importance of confidentiality and discretion
  • High degree of professionalism
  • Ability to work independently with minimal supervision
  • Tech-savvy (e.g., Gemini, Google Suite, Jira, Slack, Salesforce, etc.)
  • Comfortable making decisions and taking full ownership of the role
