Job Summary
Seeking an experienced Executive Assistant to support a Capital Markets leadership team during a maternity leave coverage. The role requires high discretion, strong communication skills, and excellent organizational ability. The assistant will manage calendars, travel, meetings, and serve as a key liaison between internal and external stakeholders.
Key Responsibilities
- Coordinate high-level executive functions with broad independent judgment.
- Schedule and manage appointments, meetings, and travel arrangements.
- Answer phones, screen calls, manage visitors, and handle confidential information.
- Compose and format correspondence, memos, and reports.
- Organize mail, records, and maintain confidential files.
- Research and prepare data and special reports for executive-level decisions.
- Support Board of Directors' communications including minutes and records.
- Act on administrative matters during supervisor’s absence.
- Coordinate with internal departments and external stakeholders.
- Participate in divisional and departmental planning.
- May supervise or support other admin personnel as needed.
Required Experience
- Bachelor’s degree
- 3–5 years of experience as an Executive Assistant
- Previous support experience in Capital Markets or Finance
- Familiarity with managing multiple executive calendars
Nice-to-Have Experience
- Background in finance or corporate banking environments
Required Skills
- Executive-level calendar management
- Strong MS Office proficiency
- Capital markets familiarity
- Travel coordination and document preparation
