Key Responsibilities of the Executive Assistant
- Own and manage a dynamic calendar, coordinating meetings, appointments, and personal commitments
- Act as a liaison for internal and external stakeholders, ensuring smooth and professional communication
- Arrange complex travel plans and create detailed itineraries for both business and personal trips
- Prepare and process expense reports and manage invoice tracking
- Support occasional personal errands and home-related logistics to keep things running smoothly
- Assist with maintaining a light and consistent social media presence for the company (e.g., drafting/scheduling posts, monitoring engagement)
- Handle administrative duties such as document preparation, correspondence, and project coordination
- Plan and coordinate client and partner events, including receptions, meetings, and special engagements, ensuring a seamless and memorable experience that reflects the firm’s brand and values
- Support marketing initiatives by creating and managing content for social media platforms, coordinating campaigns, and ensuring consistent brand messaging across all channels
- Jump in on special projects and help streamline day-to-day operations
Qualifications of the Executive Assistant
- 1-3 years of administrative experience working with senior leaders
- Strong multitasking and problem-solving skills with a “no task too small” attitude
- Excellent written and verbal communication
- Tech-savvy and proficient in Microsoft Office; experience with social media scheduling tools is a plus
- Discreet, trustworthy, and capable of managing sensitive information with care
- Energetic, dependable, and able to pivot seamlessly between business and personal tasks
