Position Overview

Leon Capital Group (LCG) is a private investment firm based in Dallas, TX, focused on building and scaling businesses across real estate, healthcare, financial services, and technology. We are seeking a polished, proactive Executive Assistant to support our executive team with a primary focus on executive travel coordination and private aviation logistics. Based in our Dallas headquarters, this individual will play a critical role in managing complex travel schedules, overseeing private jet operations, and ensuring exceptional travel experiences. The Executive Assistant will report directly to the CEO’s Chief of Staff and also provide broader administrative support as bandwidth allows. This role will additionally serve as backup to the Office Manager, including front desk and reception duties, during periods of reprieve or time off.

Key Responsibilities:

Travel & Aviation Management

  • Coordinate and manage domestic and international travel for the executive team, including flights, hotels, ground transportation, and itinerary planning.
  • Schedule and oversee all private aviation logistics, including coordination with flight operations, manifest creation, on-board catering, and FBO communication, serving as the primary point of contact with pilots, flight vendors, and charter partners.
  • Proactively monitor travel changes and troubleshoot any last-minute itinerary adjustments.
  • Prepare detailed travel briefings and ensure executives are fully informed ahead of each trip.
  • Track, submit, and reconcile travel expenses in compliance with company policy.

Administrative & Office Support

  • Provide administrative support to the Chief of Staff and assist with meeting coordination, internal communications, and other C-suite executive-level tasks.
  • Book reservations for high-end dining, accommodations, and entertainment, maintaining a standard of excellence and discretion.
  • Assist in scheduling internal and external meetings and handling logistics as needed.
  • Act as backup to the Office Manager / Receptionist, including front desk and reception duties, mail distribution, supply management, vendor coordination, and general office maintenance during absences or reprieve periods.

Event Management

  • Plan, coordinate, and execute corporate events including investor relations meetings, holiday parties, team off-sites, leadership retreats, and client-facing gatherings.
  • Manage end-to-end logistics including venue selection, vendor negotiation, catering, AV/technology, décor, transportation, and accommodations.
  • Oversee guest experience from invitations and RSVPs through on-site coordination and follow-up communications.
  • Serve as the primary liaison to vendors, venues, and contractors, ensuring seamless execution and strong partnerships.

Qualifications

  • Must be currently authorized to work in the United States on a full-time basis without the need for current or future employment sponsorship.
  • 5+ years of experience as an Executive Assistant or high-level travel coordinator required, ideally supporting C-suite executives.
  • Prior experience coordinating private aviation travel is strongly preferred.
  • Excellent organizational and multitasking skills, with the ability to remain calm under pressure.
  • Strong interpersonal skills and professional demeanor, especially when dealing with high-level stakeholders.
  • 3+ years of experience with expense reporting and workflows is required.
  • High degree of discretion and confidentiality.
  • Strong working knowledge of Microsoft Office Suite, and travel booking platforms; private aviation software knowledge is a plus.
  • Must be based in Dallas, TX, and available to work in the office Monday through Friday.
  • Must be available to work on weekends
  • A bachelor’s degree is preferred.
