Overview
A boutique investment firm is seeking a polished and proactive Executive Assistant & Office Manager to support three Managing Partners and ensure smooth day-to-day office operations. This is a hybrid, full-time position best suited for a detail-oriented professional who thrives in a small team environment and has experience supporting senior leadership in the finance sector.
Compensation: $100–110K base + discretionary bonus. Schedule: 9:00am–6:00pm.
Responsibilities
- Provide high-level administrative support to three Managing Partners, including heavy calendar management, domestic travel planning, and meeting coordination
- Process expense reports and vendor invoices with accuracy and timeliness
- Maintain and update Salesforce CRM with contact details; run reports and prepare materials for meetings
- Coordinate internal meetings, team offsites, and occasional investor events, managing logistics, catering, and materials
- Oversee light office management duties such as restocking supplies, managing vendors, and maintaining kitchen/common areas
- Partner with HR and IT to support onboarding and offboarding logistics
- Handle confidential information with discretion and professionalism
- Support office culture and team engagement through gift coordination, employee milestones, and occasional event planning
- Take on ad hoc requests and small projects as needed with a proactive, solutions-oriented approach
Qualifications
- 4–10 years of Executive Assistant experience, ideally within investment management or financial services (buy-side preferred)
- Prior experience in a small or mid-sized office environment required
- Proficiency with Salesforce for basic updates and reporting is essential
- Strong organizational, communication, and multitasking skills
- Confident, discreet, and comfortable working closely with executive leadership
