The Position

The Executive Assistant will provide high-level administrative and operational support to the CEO to ensure smooth business operations. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities with grace and accuracy. You will act as a strategic partner, managing day-to-day logistics and supporting broader business initiatives in a fast-paced, high-growth environment.

Specific Responsibilities

  • Own and manage a complex, dynamic calendar, prioritize and schedule meetings, events, and appointments across multiple time zones
  • Serve as a liaison between the CEO and board members, investors, and other high-level stakeholders
  • Prepare materials, schedule meetings, and ensure clear, timely communication
  • Organize and prepare agendas, presentations, and documents for executive meetings
  • Capture meeting minutes as needed and follow up on action items
  • Monitor and manage high-volume inboxes
  • Coordinate domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries
  • Draft, edit, and respond to correspondence on behalf of the CEO as needed
  • Support with strategic projects by tracking deliverables, timelines, and stakeholder communications
  • Handle sensitive company information with the highest degree of professionalism and integrity
  • Other duties as assigned

Skills and Qualifications

  • Bachelor’s degree is required
  • 5+ years of experience supporting C-level executives, preferably in a fast-paced, growth-stage company or healthcare setting
  • Exceptional organizational and time-management skills and a strong sense of urgency
  • Strong written and verbal communication abilities
  • Tech-savvy with proficiency in Microsoft Office, specifically with tools like Outlook, Excel, Teams, Zoom, and more
  • Ability to anticipate needs, take initiative, and work independently
  • Strong interpersonal skills with the ability to work effectively with senior leaders and external stakeholders
  • Flexibility to adjust to changing priorities and an evolving environment
  • A passion for animal health or veterinary services is a plus
  • Ability to work on-site in downtown Clayton
