Responsibilities

  • The executive assistant provides moderate to advanced, often confidential support to company executives by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors and phone calls, arranging conference calls and managing calendars (including booking travel) for one or more executives as assigned.
  • Uses judgment and initiative to determine the action necessary to manage both routine and unusual situations.
  • Greets internal and external customers; handles general inquiries; refers more complex inquiries to appropriate department or individual.
  • Uses good judgment and operates with a customer-centric approach to problem solving.
  • Coordinate with Leadership team to run townhalls/all-employee meetings within the department.
  • Taking notes and action items in meetings; organizes basic projects.
  • Organizes executive calendars and prioritizes requests; schedules and coordinates meetings, appointments and other activities; communicates schedule changes.
  • Assists in compiling meeting agendas and speeches; compiles and analyzes basic information for inclusion in reports or presentation materials, at the direction of an executive; helps prepare charts, graphs, and tables as necessary.
  • Uses discretion in answering and screening telephone calls and emails as appropriate; receives and assigns incoming mail; retrieves files and materials needed to address action items.
  • Maintains records, confidential files, and hold/diary system; follows up as needed; may requisition, distribute and maintain supplies; prepares expense reports and handles payments for expense items.
  • May back up other Executive Assistants as needed.

Qualifications

  • High school diploma or equivalent required; Bachelor’s degree preferred.
  • At least six years of experience in an administrative capacity in a corporate setting.
  • Proven advanced skills in Excel, PowerPoint, Word and Outlook; note-taking and action items during meetings; basic project skills.
  • Ability to coordinate with leadership in organizing and running town hall meetings; accurate typing with standard business vocabulary and grammar.
  • Strong verbal and written communication skills; strong time management and organization skills.

Education and Experience Details

  • Education: High school diploma or equivalent required; Bachelor’s degree preferred.
  • Experience: Six or more years in administrative role in a corporate setting; proficiency in Excel, PowerPoint, Word, Outlook; note-taking; basic project skills; town hall coordination.

Workplace and Location

Workplace: Hybrid. In-office at least three days per week and up to two days virtual for employees within fifty miles of a Farmers corporate office; applicants beyond fifty miles may be considered.
