Position Summary
We are seeking a sharp, confident, and highly capable professional to serve as Executive Assistant to the COO. This is a mission-critical role for someone who brings structure to complexity, operates with discretion and authority, and ensures the executive office functions at peak performance.

Key Responsibilities

  • Serve as a strategic partner to the COO — managing key initiatives, aligning teams, and ensuring seamless execution across the organization.
  • Represent the COO with professionalism and credibility in internal and external interactions.
  • Prepare executive-level materials including presentations, briefings, and summaries that synthesize complex topics into actionable insights.
  • Participate in high-level meetings, track follow-ups, and ensure outcomes are executed with precision.
  • Coordinate and drive cross-functional projects and initiatives that require executive visibility and oversight.
  • Anticipate operational needs, remove obstacles, and improve processes to maximize executive efficiency.
  • Maintain visibility into strategic priorities, ensuring the COO’s time and focus are aligned with the company’s most critical objectives.
  • Lead or support special projects requiring high discretion, analytical thinking, and rapid execution.

Qualifications

  • 2+ years of experience in a senior executive support, chief of staff, operations, or strategic project leadership role.
  • Proven success supporting or working alongside C-suite executives, ideally in healthcare or another highly regulated industry.
  • Outstanding written and verbal communication skills, with the ability to present confidently and concisely.
  • Discreet, trustworthy, and emotionally intelligent — comfortable handling sensitive matters with maturity and professionalism.
  • Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
  • Strategic thinker with strong judgment, problem-solving skills, and the ability to anticipate needs.
  • Proficient in Microsoft Office or Google Workspace; experience with tools like Asana, Notion, or Trello is a plus.
