Overview

Executive Assistant — Part Time, Hourly

Reports To: CEO. This role works directly with the CEO to manage schedules and communications, coordinate and organize appointments, meetings, travel, and related duties. The position is highly strategic, supporting the Leadership, Sales, and Operations teams by ensuring daily tasks and routines run smoothly. This role offers growth potential and extensive perks, including retail discounts and a fitness studio membership. 15-20 hours per week to start; 60% remote and 40% in the CEO's office. Must live locally in Bradenton, FL.

This is a Part Time position that may grow to Full Time and provides extensive perks in addition to competitive compensation.

Responsibilities

  • Complex calendar management including scheduling meetings, appointments, and travel.
  • Understand all key dates, commitments, and complexities of the CEO’s calendar.
  • Travel purchases and itinerary planning.
  • Catering arrangements as needed.
  • Step in for CEO in department meetings when necessary.
  • Communicate internally and externally on behalf of the CEO — relay the CEO’s vision and mission in all correspondence.
  • Project management and delegation to other team members.
  • Provide support during live events, including scheduling and creating events online and in-person.
  • Provide support to senior leadership for events and employee onboarding.
  • Drive to various locations to run errands (up to about 1 hour away) on occasion if needed.
  • Paper, file, and mail management.
  • Execute some personal errands for the CEO as needed.

Requirements

  • High school diploma or equivalency; Associates or higher preferred.
  • Reliable transportation and valid driver’s license.
  • Ability to pass a background check.
  • Highly organized with strong multitasking ability.
  • Self-driven and proactive; familiar with email, internet, Apple OS, Google Apps.
  • Familiarity with QuickBooks and basic bookkeeping preferred.
  • Ability to type 35+ words per minute.
  • Familiarity with ClubReady CRM preferred but not required.
  • Excellent written and oral communication skills.
  • Passion for exceptional customer service.
  • Minimum 2 years of Customer Service/Executive Assistant experience.
  • Social media experience a plus.

Metrics (Expected Results)

  • Maintain an organized calendar with no overlap in meetings or appointments.
  • Complete tasks and projects with high efficiency, accuracy, and confidentiality.
  • Ensure all of the CEO’s email inquiries are addressed by the end of each day, with checks in the morning, afternoon, and evening.
